How to plan and bill a Panchakarma package without spreadsheets

Packages, sessions, therapists, rooms, consumables, and balances — the moving parts of Panchakarma, and how to keep them all in one place.

A Panchakarma package looks simple on the brochure and gets complicated the moment it starts. There's a protocol to follow, therapists and rooms to schedule, oils and consumables to track, and money that's collected up front but earned session by session. Spreadsheets can hold one of those things at a time. They can't hold all of them together.

Start with the package, not the appointment

The unit of Panchakarma isn't a visit — it's the package. Planning it means laying out the full protocol across its phases:

  • Poorva Karma — preparatory procedures like Snehana and Swedana.
  • Pradhana Karma — the main therapies (Vamana, Virechana, Basti, Nasya, Raktamokshana).
  • Paschat Karma — post-procedure care and diet to consolidate the result.

Once the package is defined, sessions can be generated against it — so the schedule and the billing both reference the same plan.

Schedule people and rooms, not just patients

A therapy session needs a therapist and a room, both of which are finite. Scheduling against real availability prevents the classic problems: two patients booked into one room, or a therapist double-booked across the morning. A live board of the day's sessions makes clashes obvious before they happen.

Track consumables at the session

Oils and materials are consumed at each session. If that consumption isn't recorded against stock, two things break: your stock counts drift, and your package profitability is fiction. Recording consumables per session ties usage directly to cost — and to reorder levels.

Package profitability is just revenue minus what you actually spent delivering it. If consumables aren't tracked, you're guessing at the second half.

Bill the package, watch the balance

Because packages are paid in advance, the risk isn't collection — it's delivery. A patient who misses sessions, a package that quietly runs over, a balance nobody's watching: these are where revenue and goodwill leak. Package billing with a live balance and missed-session tracking keeps both the facility and the patient clear on what's been delivered and what remains.
